IconSpeak Configuration Utility Help V2.2
IconSpeak Configuration Utility is designed to enable easy set up of IconSpeak on the Clients Pocket PC. IconSpeak is written by Bostock Software Development & Consultancy Ltd. Technical support is available by email from support@IconSpeak.com.
IconSpeak is Assistive Communications Aid software for people with speech impairment. It is designed to run on a Pocket PC, Tablet PDA or Standard / Tablet PC with a touch screen or switch mechanism. It is set-up and configured from a Standard Windows PC.
Key Concepts
Icon: An Icon is a picture that, when pressed once or twice with the finger, will play a pre-recorded sound, word or phrase. The pictures that Icons display can be drawn using Windows Paint program or other drawing package, scanned images from photographs or captured from digital cameras. They can represent real situations or be symbols from one of the recognized symbol libraries. See Creating Icons for further information.
Tap and Double Tap, Click and Double Click: On the Pocket PC, pressing an Icon with the finger or stylus is known as Tapping. Pressing it twice within a preset time is known as double Tapping. On the Windows PC (if it doesn't have a touch sensitive screen), the same action is accomplished using the mouse and is know as Clicking or Double Clicking. The pre-set time between pressing (referred to as the Double Click Delay) defaults to about 4/10 second, but can be increased.
Page: A Page is a collection of Icons (in the standard version there are 12 Icons, grouped in 4 rows of 3.)
Home Page: The first page is known as the Home Page and usually has the most important icons, such as Hello, Good Bye, I Need Help etc.
Linking: Each Icon on a Page can be linked with another Page so that when the Icon is pressed once or twice it will play it sound, then display the Linked Page.
Index Page: Pages that have Icons that link to other pages are known as Index Pages. A typical configuration will have a Home Page, which has one button that links to one or more Index Pages. Each of these Index pages will have Icons that link to pages covering various categories such as Food, Clothes etc.
Drag and Drop: IconSpeak Configuration Utility uses Drag and Drop technology to build the pages that are displayed by IconSpeak. To Drag and Drop a new Icon from the Icon Library to an Icon Button on the IconSpeak Test Window, Hold the Left Mouse down on the chosen Icon, and (whilst keeping the button held down), move the mouse cursor until it is over the target IconSpeak Icon Button, and then release the mouse button. The same applies to moving sounds on to an Icon, except that using the Left mouse button moves a sound that will be heard when the Icon Button is pressed once (clicked), and using the Right mouse button moves a sound that will be heard when the Icon Button is pressed twice (double clicked).
Context Sensitive Menus: IconSpeak Configuration Utility also uses the Right Mouse Click to bring up Context Sensitive Menus that enable you to perform tasks that relate to the object that you right clicked on. For example, right clicking on a Icon Button in the IconSpeak Test Window, brings up a menu that enables editing of the properties of the Icon button that was clicked.

New: Creates a new Client Open: Opens an existing Clients configuration Close: Closes an open configuration Save: Saves any changes made to a configuration. Save As: Saves the configuration under a new name. Save As Default: Saves the configuration as a default configuration upon which new configurations can be based. Properties: Allow the editing of various system properties. Printer Setup: Select the printer and its properties. Print: Load the IconSpeak configuration file into the Print Preview window, from where it can be viewed and printed. Exit: Exits the program. |

Host PC Options: Load Libraries: Enables the loading of new Icon and Voice libraries from CD-ROM or that have been downloaded from our Web Site. Also allows for existing installed 3rd party symbol libraries to be visible to IconSpeak. Register New Client: Each new Client supported from the Configuration Utility requires a separate software license. Software licenses can be purchased from BSDC Ltd or one of its distributors. When a new license is purchased, you will be given a 'License Key' which enables IconSpeak to run without limitation. When you have received a License Key, select this menu option and enter the Clients Machine ID. e.g. FredBloggs and press the Return Key. Then enter the Licence Key you have been given. Poll For Docked Pocket PC's: If this option is Ticked, the IconSpeak Configuration Utility will regularly check to see if a Pocket PC has been docked.. Use ActiveSync File Synchronization: If this option is Ticked, the IconSpeak Configuration Utility will not attempt to copy files to a Docked Pocket PC. It relies on the Microsoft ActiveSync program to be running, and having been set to do "File Synchronization". Note: You must not set ActiveSync to do Desktop to Device File Conversion of .bmp files into .2bp files. See ActiveSync Help for further information on this subject. If this option is not "Ticked", IconSpeak will automatically copy files to the Docked Pocket PC when changes are made. Synchronize Library Categories: If this option is Ticked, the IconSpeak Configuration Utility will keep the Library Categories in sync. That is, if you change the Icon Library category to "Foods", the Sound Library category will also change to "Foods" and vice versa. Set WMF Background Colour: (and WMF Background Window) When you use an Symbol Library such as PCS, which has images in WMF format (Windows Meta File), the images usually can have any colour background you consider suitable. This menu option will display the Windows Metafile Background Colour Picker dialogue which allows the background colour to be changed. To enable faster changing of the background colour, you can also use the WMF Background Window which only lets you choose from 16 basic colours.
Device Options: Install IconSpeak: This will install the IconSpeak program and supporting system files onto a connected Pocket PC. Update With Current Configuration: This will copy an open configuration and all Icons and Sounds it uses onto the Pocket PC. This may take some time. Start IconSpeak: This will start IconSpeak on the Pocket PC. Shutdown IconSpeak: This will request that IconSpeak program shuts down. This should happen within about 15 seconds. Restart IconSpeak with new configuration: This will request that IconSpeak program reloads its configuration. This should happen within about 15 seconds System Information: This will display important system information about the connected Pocket PC as shown in the example below.
Target Device Is: IconSpeak currently supports 4 device types:
Generate All Sound Files from PC Text-To-Speech (New in V2.2) When using Text-to-speech on the Configuration PC, this option will generate .WAV sound files from every Icon's Sound property. E.G. if an Icons Sound property is "I Use this to help me speak.", this option would create a wave file called "I use this to help me speak.wav" which speaks the phrase in the currently selected Text-to-Speech voice. This option can also be applied to an individual Icon using the Icon context sensitive menus. Remove All Sound Files and use Devices Text-To-Speech (New in V2.2) This will delete all .WAV files from the configuration's "Voice Files" folder (except navigation sounds). It will also remove the .WAV extension from all Icons Sound Property values (except navigation sounds). This option can also be applied to an individual Icon using the Icon context sensitive menus. Search: This will load the Search Window and enable you to look for Icons and Sounds that match words or phrases. |

| IconSpeak Test Window | The IconSpeak Test Window simulates the Pocket PC or Tablet PC running the current IconSpeak configuration. For a Pocket PC, changes made to this configuration are automatically updated onto the Pocket PC when it is docked. To recognize the changes, IconSpeak needs to be restarted on the Pocket PC. This can be done using the menu: Tools, Device, Restart IconSpeak with New Configuration. | |
| Current Page | This is the current page on display in the IconSpeak Test Window. A different page can be selected from the drop-down list. | |
| Add Page Button | Click this button to add a new Page of
Icons. Give the page a relevant name such as Hobbies1. A new page will be created with

| Record Sound Button | You can record a new sound by clicking this
button. You will be prompted for the name of the sound (such as I am hungry). The Recorder controls will then be enabled. Press the Record button and begin speaking immediately. Press the Stop button as soon as possible after you stop speaking to avoid wasted space in
the recording. To hear what the recording sounds like, press the Play button. The sound can be re-recorded and tested as many time as you wish until
you are happy with the quality and volume. Try to record all sounds at the same volume and loudness of voice.
When you are happy with the recording, press the Save Sound Button to save the sound to the current sound library category folder. You can also press the Save Sound Button instead of the Stop button to stop and save in one step. For further information on see Creating Sounds. |

Optional. Show Enlarged Picture (Single Click) will look for a .jpg file with the word " Enlarged" at the end of the filename. For example, if the Icon name is "Mum.jpg", then the enlarged version should be called "Mum Enlarged.jpg" Optional. Show Enlarged Picture (Double Click) Same as above but will display the picture only when the button is pressed twice. Optional. Tell Time (12 hour clock) or Tell Time (24 hour clock) will speak the current Pocket PC time when the button is pressed. Optional. (New in V2.2) Say Day and Date will speak the current Pocket PC's Day and Date in the format of: "Thursday, 11th March 2004" Optional. Louder will increase the Speaking volume. When no sound is heard the device is at the maximum volume. Not available on the Tablet/PC Version. Optional. Quieter will decrease the Speaking volume. When no sound is heard the device is at the minimum volume. Not available on the Tablet/PC Version. Optional. Configure will load the On-Device Configuration Screen. This option should only be used to enable trained personnel to tailor settings whilst with a user. Not available on the Tablet/PC Version. Optional. STOP NOW will shutdown IconSpeak on the device. Optional. (New in V2.2) Return Here. This only applies when a Click Page is selected. Return Here will cause IconSpeak to return to this page after one icon has been pressed on the Click Page. | Icon Backcolor | Optional. Store a specific background colour for this Icon. When the system property 'Image Size Percentage' is less than 100%, each Icon is reduced in size to show its coloured background. You can set the coloured background with this property setting. | Change Password | Check this box if you want to change the password. |

| PC Root Folder | This is the Folder on the Host PC where client configurations are located. This location is dictated by Microsoft ActiveSync software, and is usually "C:\My Documents". |
| Create JPEG Icons | To conserve space, you can now create JPEG Icons (instead of Bitmap Icons.) JPEG's are compressed and the quality of the image can be reduced to save even more space. |
| JPEG Quality | The default is 100 (No loss of quality). A value of 50 will result is a more highly compressed image with some loss of quality. Use a lower value to reduce the required image space requirement on the Palm or Pocket PC. |

Pocket PC / Device Options

| Digital Image Folder | This is the Folder on the Pocket PC where Digital Images will be located. Dynamically displaying Digital Images from a Digital Camera is a new feature which is not yet fully implemented. |
| Number Of Rows | Enter the number of rows of Icons. On a Pocket PC we recommending using one of the following Row/Column combinations depending on the capabilities of the user: 3x2 4x3 5x4 or 6x4. On a Tablet PC you can have up to 8 Rows. |
| Number Of Columns | Enter the number of columns of Icons. On a Pocket PC we recommending using one of the following Row/Column combinations depending on the capabilities of the user: 3x2 4x3 5x4 or 6x4. On a Tablet PC you can have up to 12 Colums. |
| Double Click Delay | This is the delay in milliseconds (1000 per second) that will be used to recognize double clicks. The user must press an Icon twice within this time limit for it to be recognized as a Double Click. Do not make it shorter than about 100 milliseconds. |
| Icon Highlight Method | On the Pocket PC you can select the method to indicate when an Icon is pressed once or twice. The default is 'simulate button' which to simulates a button being depressed, select 'Invert' to invert the button image or select 'Border' to put a colored border around the image. To select the Border image and width use the Border Size and Color settings from the Click Scan tab. |
| Anti-Tremor Delay | Specifying a delay greater than 0 enables Anti-Tremor capability. When an an Icon is pressed, the system will ignore any further Icon presses for the number of milliseconds specified. A rate of 500 to 3000 (1/2 to 3 seconds) is recommended. NOTE: Enabling this option prevents Icons from have a Double Click sound and other functions activated by Double Click. |
| Start Button List | This is a list of front panel buttons that you want to use to start IconSpeak. The list can be 1, 2 3 or 4 buttons. To use buttons 1, 2, 3 & 4 enter 1234. |
| Full Screen Mode | Checking this option will make a Pocket PC display Icons on the entire screen. You will have no
access to the Start Menu whilst IconSpeak is running. To get to the start menu, reset the Pocket PC.
On a old style Palm PC, you will need to manually set the Task Bar to "Autohide" to take full advantage of full screen mode. To do this go to Start menu, Settings, Task Bar. Check the AutoHide checkbox. |
| Image Size Percentage | Select the image size percentage. 100% will show entire image with no border. 90% will show a coloured border of 10% using each images Back Color property. |

Scanning Options
|
|
| Click/Scan Rate | If a serial Click/Scan switch is connected you can enable its use for automated scanning by setting this value to the rate at which scanning will occur. We recommend a value of from 1000 (1second) to 5000 (5 seconds) depending on the Clients requirements. As each Icons is being scanned, it will be highlighted by a colored border. (See Highlight Icon Border Size & Highlight Icon Border Color options below.) If you wish to use manual scanning set this value to -1. |
| Restart at 1st Icon | Checking this option will enable scanning to restart at the first Icon following an Icon being clicked. If unchecked, scanning will continue with the next Icon. |
| Pause after selection | Checking this option will cause Scanning to PAUSE after the Switch is clicked. Scanning will recommence when the Switch is click again. |
| Dwell time at 1st Icon | Set this to the number of milliseconds (1000 per second) that you want automated scanning to delay when scanning gets to the first Icon on the page. |
| Highlight Icon Border Size | Select the percentage size for the scanning border. Choose a size that the user will find easy to see. The Scanning border will be highlighted with the color selected below. |
| Highlight Icon Border Color | Select one of the available colors for the scanning border. Choose a color that the user will find easy to see. |
| Switch 1 | IconSpeak can utilise two methods of scanning. It can use the Break signal (Break) or a Transmit/receive pulse (TxRx). If you are using two switch scanning, then both methods are employed. Select which method will be used on Switch 1. |
| No. of Switches | IconSpeak can support one or two switch scanning. If you wish to enable scanning, select how many switches you will use. |
| Scan Method | Choose the scanning method appropriate to the user. Sequential: Scans from Icon 1 sequentially through to the last Icon, Column/Row: Scans Columns then Scanns Rows or Row/Column: Scans Rows then Scans Columns. |
| Advance Switch | When you choose two switch scanning, select which switch will be used for Advancing to the next Icon, Column or Row. The other switch will select the Icon. |
| Enable Audible Feedback | Check the box to enable Audible Feedback when an Icon is highlighted during scanning. The Icon's Double Click Sound will be played as it is scanned. For advanced information on using audible feedback, please email AudibleFeedback@IconSpeak.com |

| Audio Format | Select the format of spoken output. It presents a range of options that encompass 8 or 16 bit, 8Khz to 44Khz, Mono or Stereo. The worst quality (but smallest file size) is 8 Bit, 8 Khz Mono. The best quality but largest file size is 16 Bit, 44 Khz Stereo. For Pocket PC's use 8bit 11Khz Mono. For PC's use the best quality setting unless you are short of space. |
| Audio Output | This would normally be set to your PC's Sound Card. |

| Edit Icon Properties | Loads the Icon Properties Page. |
| Cut | (New in V2.2) Select this Icon for "Cutting". It can then be Pasted into another cell. When pasted, the original "Cut" icon will be deleted. Multiple Icons can be "Cut" but holding down the Control Key whilst they are selected with the mouse. |
| Copy | (New in V2.2) Select this Icon for Copying. It can then be Pasted into another cell. When pasted, the original icon will be unaffected. Multiple Icons can be "Copied" but holding down the Control Key whilst they are selected with the mouse. |
| Paste | (New in V2.2) The Paste menu option will only appear if you have previously cut or copied one or more icons. If one Icon has been cut or copied, it will be pasted onto the selected cell. If more than one has been cut or copied they will be pasted starting from the selected cell. When the paste reached the last cell on the page it will start at the first. |
| Revert to Default Sound | If the Icons' sound has been changed, this will set it back to the original value based on the name of the Icon. |
| Delete Icon | Deletes an Icon, replacing it with a blank one including the blank warning sound. |
| Delete Entire Page | Deletes an entire page of Icons. If there are links to this page, you will be warned before deletion continues. |
| Rename Page | Change the name of a Page. The new Page Name will appear at the end of the Pages List. |
| Generate Sound File from PC Text-to-Speech |

Icon Library Window Context Sensitive Menus

| Record Associated Sound | Record the sound that is associated with this Icon. If the Icon is Banana the the Sound will be called Banana.wav |
| Play Associated Sound | Plays the sound associated with this Icon. You can also click the Icon with the Left mouse button to play the associated sound. |
| Edit | Loads the Icon into the your systems default Image Editing program, so that you can edit it. When finished editing, you need to save the changed Icon, and exit the program. The display should reflect the change after a few seconds. |
| Create New Picture Icon | Prompts you for the name of the new Icon, then creates a blank Icon under that name, then loads it into your systems default Image Editing program so that you can edit it. When finished editing, you need to save the Icon, and exit the program. The display should reflect the change after a few seconds. |
| Create New Text Icon | This will load Window shown below. Enter the name of the Text based Icon. This will immediately copy
that text into the "Enter Text Icon" area. You can edit this text. You can align it using the three alignment buttons. You can set the
font and foreground /background colours. When you are happy with the result, click the Create Icon button. Then click the Save Icon button. This
Icon will then become available to use.

Sound Library Window Context Sensitive Menus

| Play Sound | Plays the selected sound. You can also double click the sound to play it. |
| Delete Sound | Permanently delete an Sound from the Sound Library. |
| Record Sound | Prompts for the name of a new sound (Don't enter the .wav extension) and then enables the Recording Controls so that you can start recording. |
| Re-record Sound | Enables the recording controls so that you can re-record a sound with which you are not satisfied. |
| Create New Category | This will prompt for the name of the new Sound Category you wish to create in the currently selected Sound Library. |
| Rename | Change the name of a Sound. |

| Search Phrase | A letter word or phrase that you want to search for. |
| Search Button | Click this button to begin the search |
| Go to Selection Button | Click this button to close the Search Window and show the selected Icon or Sound in the Icon or Sound Library window |
| Cancel Button | Close the Search Window |
| All Icon Libraries | Check this box to search all available Icon Libraries |
| This Icon Library | Select from the list the Icon Library you wish to search |
| All Sound Libraries | Check this box to search all available Sound Libraries |
| This Sound Library | Select from the list the Sound Library you wish to search |
| Results List | This will contain a list of Icons and Sounds that match the search criteria |
| Selection Preview | When an Icon or Sound in the Results List is selected, it will be displayed in this window. Icons display the picture, Sounds will enable a Play button. |

| Install Libraries From | This is where IconSpeak will look when asked to install its libraries. Change the path using the Change Button. |
| Default Library Path | This is where IconSpeak will copy selected libraries to. You can change the path using the Change Button. |
| List of IconSpeak Libraries | This is a list of IconSpeak Icon & Sound libraries found in the specified location. Check the box to the left of each library that you want installed. |
| Library Install Button | Click this button to install all libraries checked in the above list. |
| List of Registered Libraries | This is a list of all registered Libraries that are installed on your PC. |
| RegisterInstalled Library | Click this button to search for and register with IconSpeak an already installed library. This can be an IconSpeak library of a third party library such as PCS or Rebus. |
| De-register Library | Click this button to remove the library selected in the list of registered libraries. |

Icons can be one of the following standard PC Image formats:-
Bitmap. (e.g. Home.bmp) Bitmaps are uncompressed images, but if small load very quickly. We recommend saving bitmaps in the minimum number of colors that are required to show the image properly.
JPEG (e.g. Home.jpg) Stands for Joint Picture Expert Group who specified the format. JPEG files can be compressed thereby taking less disk space. Ideal for displaying enlarged images with IconSpeak.
GIF (e.g. Home.gif) Stands for Graphics Interchange Format and is the copyright of Compuserve Inc. Commonly used for images displayed on the interenet. Images are compressed.
WMF (e.g. Home.wmf) Stands for Windows Meta File. Some third party symbol libraries use this format.
EMF (e.g. Home.emf) Stands for Enhanced Windows Meta File. Some third party symbol libraries use this format.
When running with 12 Icons per Page, IconSpeak will make the image fit the Icon size of 76 x 76 pixels. Enlarged images will be shown at 240 pixels wide by 320 pixels high, which is the full size of the Pocket PC Screen (240 x 268 on the Pocket PC version NOT in full screen mode.)
Icons can be created using a variety of methods:-
Draw them with Microsoft Paint program which is standard on every Windows PC. See Edit.
Draw them with another drawing package.
Scan images into a drawing package and size them to fit.
Download images from a Digital Camera and size them to fit.
Download images from the internet and size them to fit if necessary.
Purchase commercially available Image Libraries and convert the images to fit if necessary.

Sound must be created as standard Wave format files. These can be recorded using the built-in sound recorder in the IconSpeak Configuration Utility or with another commercially available sound recording program.
When recording sound with the built-in recording facility, be aware that each recording is likely to have empty space at the beginning and end. This wastes disk space on the Pocket PC and should be avoided if possible. When recording sound libraries, we recommend recording them with IconSpeak Configuration Utility, then editing each sound file with a program such as Adobe Audition to remove the empty space before and after the recorded word/phrase. Try to record sounds at the same volume level.
Although you can create and maintain many client configurations on one Windows PC, each Client must be licensed to run the IconSpeak software on their Pocket PC, or Table/laptop/Desktop PC.

Please read the following terms and conditions before using IconSpeak, hereafter referred to as "the product". Unless you have a different license
agreement signed by Bostock Software Development and Consultancy Limited covering the product, your use of the product indicates acceptance of this license
agreement and warranty.
LICENCED USER
1. The software contained in the product remains the property of Bostock Software Development and Consultancy Limited.
2. Payment of a single user license fee authorises one named person to use the product on one computer.
3. The Product as well as the IconSpeak Configuration Utility, Icon Libraries and Sound Libraries may be downloaded from our Web Site and evaluated for a period
of no more than 30 days without the written permission of Bostock Software Development and Consultancy Limited.
4. The IconSpeak Configuration Utility accompanying the Product may be installed on one or more computers and is supplied to enable configuration and setup of
the Product
on one or more Computers for which single user licenses are held.
5. Icon Libraries and Sound Libraries supplied with the Product or purchased or obtained separately from Bostock Software Development and Consultancy Limited
remain the property of Bostock Software Development and Consultancy Limited and may be used only to configure the Product on suitable
Computers for which single user licenses are held.
6. You may make copies of the product for backup purposes, as long as all such copies remain under your control.

THE PRODUCT IS SUPPLIED "AS IS" WITHOUT WARRANTY, EITHER EXPRESS OR IMPLIED, WITH RESPECT TO THE PRODUCT OR ITS DOCUMENTATION INCLUDING THEIR QUALITY,
PERFORMANCE, MERCHANTABILITY, OR FITNESS FOR A PARTICULAR PURPOSE.
IN NO EVENT WILL BOSTOCK SOFTWARE DEVELOPMENT AND CONSULTANCY LIMITED BE LIABLE FOR DIRECT, INDIRECT, SPECIAL, INCIDENTAL,
